Advisor Sessions

Opening Night Meeting

 Summer workshop expectations and opportunities for participation

  • Introduce everyone. 
  • Be sure they know when and where Advisor Meetings will be held. Hand out your schedule.
  • Opportunities for non-staff sponsors (Talk with workshop consultant and director in advance to find out what opportunities are available.)
    • Team with a council sponsor to help with activities or to pick up supplies
    • Volunteer with Olympics or other workshop activity
    • Volunteer to help with talent or to time presentations as students practice
    • Volunteer to serve as “principals” or other positions needed in workshop
    • Volunteer to help with ice cream, pizza, workshop video, etc.
    • Consider possibility of doing a presentation for the students
    • Check rooms
    • Discuss “home town meetings”
    • Does everyone understand workshop terminology:  consultant, director, etc

Tuesday Day 2 - Advisor Resources

Day 2:  New Advisors:  Tools for Running a Council

Organizational structure

Constitution:  See workshop manual and Advisor Resource Guide.  You might want to bring a couple of sample constitutions.  Stress importance of knowing and following the constitution.  If you are following the constitution, you are OK.  If not, you have a problem.  Go over methods for revising the constitution.  Sponsors can’t just decide they don’t like something and change it.  Be sure your principal has a copy of the constitution.

Point system:  See Advisor’s Resource Guide

Committees:  See minimum standards in Resource Guide; discuss appointment of committee chairs, expectations of committees, committee plan, etc.  Certain standing committees should be outlined in your constitution.  The need for special committees may arise with each new major project.

Elections:  Go over information in constitution.  Provide copies of election procedures, policies from a couple of schools.  Stress the necessity for have these guidelines in writing, sharing them with all candidates, and ensuring that the principal has a copy.  Follow them.  Don’t do anyone any favors.  Discuss different methods of school wide voting.

Officer roles:  See workshop manual.  Explain that officer roles are different for different schools, but that they should be spelled out in general in the constitution.  They also need to be included in your election procedures so all candidates have them in writing and acknowledge them in writing prior to the election.

Meeting Skills and systems for running meetings (You need systems, and your members need to understand them just as you have systems in your classroom.)  See workshop manual and Advisor Resource Guide.  Your Executive Committee needs to develop the agenda.  There is a sample included in the Guide

Experienced Advisors and New Advisors Together

Planning for Success (Ask Experienced Advisors to share.  Cover this info quickly)

Calendar:  Necessity for planning in advance, getting major events on the school calendar, etc.  Teach students how to look at the date and plan backward.  Contact your district president for important dates of events happening in your district.  “Leadership” magazine includes a list of holidays and special in the

August/September issue.  Show them where to find the planner on the website and how to use interactive calendar.

Council goals:  See workshop manual:  Discuss working with your principal on finalizing goals as well as the value of sharing them with your faculty.  You should not have more than five or six major goals.

Financial structure and budgeting:  Review major expenses for which you can plan.  Stress the need to know the school district’s rules and follow them.  Never fund raise just to fund raise.  Always know where the money raised is going. 

Laws and Liabilities:  Follow district guidelines, use permission forms always, know guidelines on transportation.  Be very careful about money.  Always leave clear evidence that you are acting in a reasonable and prudent manner as far as students are concerned.  If your principal is aware of your procedures and you are following them carefully, you should be OK.  When it comes to following guidelines, be consistent, and once again, don’t do anyone any favors.

Leadership Class and Leadership Lessons

Public Relations:  What are you doing for PR?  Have you considered a student Speaker’s Bureau to go to local organizations, the school board, the Chamber of Commerce, Rotary, Business and Professional Women’s Association, etc.?  Are you using the press release templates on the TASC website?
